Conversation

A free 30-minute scoping call. Tell us where you are, where you want to go, and what's getting in the way. We'll ask questions, share what we typically see in similar situations, and recommend a path: Discovery, Project, Expert on Demand, or sometimes a different consultant who's a better fit.

Scoping & Proposal

We turn the conversation into a written proposal with deliverables defined by result, a timeline you can plan against, and a budget that ties to specific outcomes not a vague block of hours. Most organizations get a proposal back within five business days.

Kickoff & Requirements

Stakeholder interviews, current-state review, and structured workshops to surface what your organization actually needs, not just what it asked for. We document everything in plain English. By the end you'll have a prioritized requirements list every team member can read and agree on.

Design & Build

Configuration, custom development, integrations, data migration. We work in regular sprints with playback sessions so you see progress, ask questions, and course-correct early. Scope changes get captured, costed, and either added or roadmapped, never quietly absorbed and billed for later.

Testing, Training & Launch

User acceptance testing with your real team, structured training delivered the way your staff actually learns (live sessions, recorded video, written runbooks, or all three), and a launch plan with rollback options. We're hands-on through go-live and the first weeks afterward.

Hand-Off & Optional Ongoing Support

A complete documentation package, a 30/60/90-day review cadence, and a clear hand-off to your team. If you want continued access, you can transition into Expert on Demand, same team, no re-scoping, predictable monthly cost. If you don't, we make sure you can navigate without us.

Common Questions

  • Start with a free scoping call. In 30 minutes we can usually tell whether you need a Discovery to plan first, a Project to execute against an existing plan, or Expert on Demand for ongoing support. The general rule: if you can clearly describe what you want built and have a budget for it, you're ready for a Project. If you can describe the problem but not the solution, you need Discovery first. If you already have Salesforce running and need flexible expert help, Expert on Demand is the right fit.

  • Differently than most. Discovery and Projects are scoped against deliverables, not hours, when we propose a project, every line item is tied to a result you can understand. The total cost is the sum of those deliverable estimates. If we complete a deliverable early, you save money. Expert on Demand is a flat monthly subscription based on the hours you choose, with unused hours rolling over for up to three months. No hidden fees, no minimum spend on Discovery, no long-term lock-in on Expert on Demand.

  • It depends on scope. Discovery engagements typically run 6–12 weeks. Smaller Projects — focused configuration, reporting, or automation work, can wrap in a few months. Larger projects involving multiple Salesforce clouds, integrations, and data migration typically run several months to a year. Expert on Demand is open-ended; you subscribe monthly and can end whenever you need to.

  • Scope changes are normal, as your team learns what Salesforce can do, the wish list grows. We capture every change request, walk you through the cost and impact, and you decide whether to absorb it into the current project, add it as a future roadmap item, or set it aside. No constant change orders, no quiet billing creep, no surprise invoices.

  • Yes — and quite often. Existing Salesforce orgs are some of our most common engagements. Expert on Demand was designed specifically for this scenario.

  • Yes. BrightHelm Partners is a Salesforce Select Consulting Partner, building on the legacy of CRM Navigators, our predecessor consultancy in the Salesforce ecosystem. Our team holds Salesforce certifications across Nonprofit Cloud, Sales Cloud, Service Cloud, Experience Cloud, and Industries Cloud.   • Absolutely and we encourage it. The strongest Salesforce orgs we've seen pair an in-house admin with a senior consulting partner who can handle architecture, complex builds, and strategic direction. We're happy to act as the senior expertise that supports your admin, train your team to handle more in-house, or fill specific skill gaps. Expert on Demand is particularly well-suited to this model.

  • Yes. We migrate organizations from Raiser's Edge, DonorPerfect, Apricot/ETO, Luminate CRM, custom databases, and even loose collections of spreadsheets. Our methodology covers data mapping, cleanup, deduplication, validation, and post-migration reconciliation. Migration projects typically include a Discovery phase to assess data quality before we commit to a timeline.

  • Thoughtfully and transparently. We use AI tools to work more efficiently on research, drafting, troubleshooting, and code assistance, work that doesn't touch your data. We use only business-tier AI contracts that prohibit your data from training AI models, we never submit personally identifiable information, and you can opt out of AI-assisted work entirely at any time.
