in brief

BrightHelm Partners works with nonprofits, public sector teams, and mission-driven organizations through three engagement models: Discovery for organizations that need a plan, Projects & Implementations for organizations ready to build, and Expert on Demand for ongoing support. Every engagement is grounded in transparent scoping, results-defined deliverables, and predictable budgets, so you know exactly what you're getting before you sign.

Most Salesforce engagements are sold the same way: a stack of hours, a vague statement of work, and a client left guessing what they're actually paying for. That model works for the consultancy. It rarely works for the mission-driven organization on the other side of the contract.

Why Our Approach Is Different

Our Philosophy

Deliverables defined by results

We don't sell hours of "Salesforce configuration." We define your goals in plain English with clear measures of success like "Nonprofit Cloud Case Management supporting the After School Program." You're signing up for outcomes you can understand.

You only pay for work performed

When we scope your project, we estimate each deliverable. Together those make up your total cost. If we finish a deliverable early, you save money. We don't bill against a block of hours hoping nobody's counting.

Your budget protected against scope creep

Scope creeps. It's a fact. We capture every change request, help you understand cost and impact, then prioritize it into a future roadmap or process it within the project. No constant change orders. No surprise invoices.

We teach you to navigate

Our role isn't to make you dependent on us forever. From the first conversation, we equip your team with insights, documentation, and clear guidance. You're the captain. We're charting the course alongside you.

Three Ways to Work With Us

The Three Models

Whether you're starting from scratch, ready to implement, or need ongoing expertise on call; we've designed each engagement to deliver clarity, control, and measurable progress toward your mission.

Discovery

For organizations that need a plan

A structured 6–12 week engagement that delivers a clear, actionable Salesforce roadmap. We run requirements workshops, validate against Salesforce products, build a proof of concept, and deliver a complete blueprint, technical requirements, architecture recommendations, budget and timeline estimates.

Projects & implementations

For organizations ready to build

Our flagship engagement: full-service guided implementation, scoped against results you can understand. From Nonprofit Cloud rollouts and Raiser's Edge migrations to Experience Cloud portals and multi-org consolidations, predictable, on-time, on-budget execution.

expert on demand

For organizations that need a team on call

A monthly subscription giving you continuous access to a bench of certified Salesforce experts, without the cost of full-time staff or the friction of scoping every new request. Bank unused hours for up to three months. Scale up or down anytime. End whenever you need.

The right solution in the wrong engagement still fails. We match the solution to the context that lets it succeed.

The Part Most Consultancies Skip

Sometimes that means proving the case for a portal over months in an Expert on Demand relationship, quietly tracking the real cost of the tools you're outgrowing until the numbers are undeniable to your executives. Sometimes it means a focused Discovery before anyone writes a line of configuration. We don't just hand you a product. We walk the course with you and pick the moment.

Choosing a Salesforce product is the easy part. The harder, more valuable work is knowing which kind of engagement gives that solution the room to actually land and sequencing it so the investment makes sense to the people who sign off on it.

If you… Best engagement Typical timeline Investment
Are evaluating Salesforce or comparing options Discovery 6–12 weeks Fixed-price, scoped at kickoff
Have a complex implementation with multiple systems or stakeholder groups Discovery → Project 6–12 wks + several months to a year Discovery fixed; Project deliverable-based
Have a clear scope and defined budget already Project A few months to a year Per-deliverable estimates, clear total
Already have Salesforce running but need ongoing help Expert on Demand Open-ended subscription Predictable monthly cost — pick your hours
Are facing a release issue, broken automation, or urgent fix Expert on Demand Opens in as little as one business day Pay only for hours used; unused roll over
Want to migrate from Raiser's Edge, DonorPerfect, or Apricot/ETO Discovery → Project Scoped per migration phase Deliverable-based with clear milestones
Need to merge multiple Salesforce orgs or consolidate data Discovery → Project Scoped after org mapping Per-deliverable, milestone-based

No pressure to commit. Most organizations match one of these patterns:

Which Engagement Is Right For You?

The Part Most Consultancies Skip

01: A free, up-front scoping conversation

Before any contract, we run a no-cost scoping call to understand your situation, surface the right questions, and recommend the engagement that actually fits, even if that means recommending you don't hire us yet.

Engagement types differ. Standards don't. Whether you're in a 6-week Discovery or a year-long migration, every engagement includes these commitments:

What Every BrightHelm Engagement Includes

Our Standards

02: Results-defined deliverables

We don't sell hours. We sell outcomes. Every statement of work names the result you'll see, not vague activities like "Salesforce configuration." You'll always know what you're paying for.

03: Transparent communication, even when it's uncomfortable

Trust is built in the light. We explain the why behind decisions, document our reasoning, and tell you when something isn't working with the data behind the change.

04: Documented, transferable knowledge

Every engagement produces written documentation your team can use after we're gone runbooks, data dictionaries, training materials, decision logs. The goal is to leave you more capable, not more dependent.

05: A team that's earned the right to advise you

Our consultants are certified, experienced, and senior. You won't find juniors learning on your dime. BrightHelm is veteran-owned, woman-owned, and SDVOSB-certified, credentials we hold to the same standard as our Salesforce expertise.

06: A transparent AI policy

We use AI tools to work more efficiently research, drafting, troubleshooting and we tell you exactly how. Business-tier contracts only. No PII. You can opt out anytime.

A Typical Journey From Conversation to Go-Live

The Path Forward

Every organization is different, but most engagements move through the same six waypoints. Here's what the voyage looks like and how long each phase typically takes.

Conversation

A free 30-minute scoping call. Tell us where you are, where you want to go, and what's getting in the way. We'll ask questions, share what we typically see in similar situations, and recommend a path: Discovery, Project, Expert on Demand, or sometimes a different consultant who's a better fit.

01.

Scoping & Proposal

We turn the conversation into a written proposal with deliverables defined by result, a timeline you can plan against, and a budget that ties to specific outcomes not a vague block of hours. Most organizations get a proposal back within five business days.

02.

Kickoff & Requirements

Stakeholder interviews, current-state review, and structured workshops to surface what your organization actually needs, not just what it asked for. We document everything in plain English. By the end you'll have a prioritized requirements list every team member can read and agree on.

03.

Design & Build

Configuration, custom development, integrations, data migration. We work in regular sprints with playback sessions so you see progress, ask questions, and course-correct early. Scope changes get captured, costed, and either added or roadmapped, never quietly absorbed and billed for later.

04.

Testing, Training & Launch

User acceptance testing with your real team, structured training delivered the way your staff actually learns (live sessions, recorded video, written runbooks, or all three), and a launch plan with rollback options. We're hands-on through go-live and the first weeks afterward.

05.

Hand-Off & Optional Ongoing Support

A complete documentation package, a 30/60/90-day review cadence, and a clear hand-off to your team. If you want continued access, you can transition into Expert on Demand, same team, no re-scoping, predictable monthly cost. If you don't, we make sure you can navigate without us.
